A complete front-end management system for children's homes, supported accommodation, and care leavers services, with role-based access for Registered Managers, Responsible Individuals, and support staff.
Children & Young People Services Manager (CYPS Manager) is a purpose-built WordPress plugin for residential children's services, covering children's home records, supported accommodation placements, and care leavers tracking, alongside safeguarding, HR, quality management, missing young person protocols, shift management, and multi-site location support.
Every function runs entirely from the front end of your website. Staff and managers never need to touch the WordPress admin area. If you can use a website, you can use CYPS Manager: no technical knowledge required.
The scale of what comes built in.
Three residential service types, each with its own dashboard tab, record structure, and status workflow.
Residential placement records for children living in your children's home. Track admissions, key workers, legal status, and placement plan reviews. Status options include Active, On Hold, Discharged, and Transfer.
Records for young people in semi-independent supported accommodation. Manage placements, key workers, support plans, and transition timelines. Status options include Active, On Hold, Discharged, and Transfer.
Tracking for young people who have left your care. Maintain contact details, pathway plans, and stay-in-touch records in line with statutory obligations. Status options include Active, On Hold, Closed, and No Contact.
Built-in safeguarding tools designed around the realities of children's residential care.
A fast, low-friction form for staff to raise a safeguarding concern quickly, capturing the essentials: the young person, the nature of the concern, immediate actions taken, and whether external agencies need to be notified. Designed for Support Workers who may not have access to the full safeguarding log.
The complete safeguarding management system for Registered Managers and designated leads. Records the concern type, LADO involvement, alleged perpetrator details, risk rating, action taken, outcome, and follow-up dates. Status options include Open, Under Investigation, Action Pending, Resolved, and Closed.
Log missing and absent episodes with the date and time last seen, circumstances, description of clothing, risk assessment, police reference number, and notification log. When the young person returns, record the circumstances of return, injuries noted on return using the interactive body map, and trigger the Return Home Interview (RHI) workflow. Status options include Missing, Absent, Found, Returned, and RHI Due.
Record the location of injuries and marks visually, not just in text.
Safer recruitment, onboarding, supervision, and appraisals, all from the front end.
Track job applicants through a pipeline from New to Under Review, Interview Invited, Offer Made, and Unsuccessful. Record DBS status, references, and right-to-work checks. Status options include New, Under Review, Interview Invited, Offer Made, and Unsuccessful.
Manage new starter onboarding with task pipelines, document collection, and training requirements. Track progress from Pending to In Progress, Complete, or Overdue.
Record supervision sessions with date, type (formal, ad hoc, group), discussion points, actions agreed, and next review date. Status options include Scheduled, Completed, Overdue, and Cancelled.
Annual and interim performance reviews with objectives, ratings, development plans, and manager feedback. Status options include Draft, Scheduled, Completed, and Overdue.
Regulation 44 and 45 visits, quality audits, and complaints handling, built around Ofsted requirements.
Record independent monthly regulation visits with visitor details, findings, recommendations, action plan, and follow-up status. Status options include Scheduled, Completed, Action Required, and Followed Up.
Track the six-monthly regulation 45 reviews of the home's quality of care, with review findings, action plans, and completion tracking. Status options include Scheduled, Completed, Action Required, and Followed Up.
Internal quality audits across care standards, health and safety, medication, and file audits, with scores, findings, and corrective actions. Status options include Open, In Progress, Closed, and Action Required.
Manage complaints from receipt through investigation to resolution, with complainant details, category, severity, investigation notes, outcome, and learning actions. Status options include New, Under Investigation, Resolved, and Closed.
Rota planning, shift handovers, and compliance auditing in one place.
Build shift rotas with date, shift type (day, night, waking night, sleep-in), assigned staff, start and end times, and notes. Status options include Scheduled, Completed, Missed, and Swapped.
Record shift handover notes between staff, covering young people's wellbeing, incidents, medication administered, appointments, and items for the next shift. Status options include Draft and Completed.
Shift-level compliance checks covering medication counts, health and safety walk-rounds, fire safety checks, and environment audits. Status options include Pending, Completed, and Failed.
Role-based access control means every staff member sees exactly what they need.
| Role | Typical Access |
|---|---|
| Registered Manager | Full day-to-day control of the home's records, including safeguarding, HR, and quality assurance. |
| Responsible Individual | Broad oversight and monitoring access across services, with fuller access to quality assurance (Regulation 44/45, audits). |
| Deputy Manager | Much the same operational access as the Registered Manager, covering day-to-day and absence periods. |
| Senior Support Worker | Can add and update most day-to-day records and correct colleagues' entries; some management functions restricted. |
| Support Worker | Can add records and edit their own entries; full safeguarding log may not be visible; uses the quick Report a Concern form. |
| Office Admin | Administrative access: typically recruitment, onboarding paperwork, and reporting rather than day-to-day case editing. |
Features designed around the realities of working in children's residential care.
A microphone button appears in long-text fields such as handover logs, supervision notes, and concern descriptions. Click to speak, and your words are transcribed directly into the text box. You can still edit by hand afterwards. Particularly useful for staff completing handover notes on the go.
If your organisation runs more than one home, a location dropdown lets you filter every tab to a specific site. Staff with full oversight can see an "All Locations" view across every home, then switch to a specific site before adding a new record.
The Overview tab shows a simple count of total and active records for each service you can access, so you can see at a glance how many young people are missing, how many safeguarding concerns are open, or how many supervisions are overdue.
The entire dashboard works on a phone or tablet. Staff can complete shift handovers, raise safeguarding concerns, and check rotas from any device with a web browser, with no app to install.
