Adult Day Centre Manager (ADCM) is a modular WordPress plugin that brings every part of running an adult day centre into one place: care records, quality assurance, HR, training, safeguarding, and risk management. It gives care staff and managers two dedicated frontend portals, so nobody needs WordPress admin skills to use it day to day.
The system supports organisations operating across multiple locations, with each site having its own staff and service users. Organisation Managers can see across all sites, while Site Managers and below are scoped to their assigned location only. Because ADCM is built to be extended, new modules can be added over time as self-contained files without touching the core plugin.

Operate multiple day centre locations from a single installation, each with its own staff and service users.
Each site appears as a card showing staff count, service user count, and capacity. Organisation Managers see all data by default and can filter to a single site for up to 8 hours at a time.
Assign staff and service users to specific sites individually. Staff with Site Manager role or below can only see clients assigned to their site. All care records are filtered accordingly.
Managers can create new sites with name, short code, address, phone, email, primary contact, and capacity. Set status to Active and the site appears immediately in the dashboard.
Structured records completed by staff at the end of each session or shift. Permanent once saved: they cannot be edited or deleted.
Select a food intake rating (None, Little, Some, Good, or Full) and use notes to describe what was eaten, preferences observed, or concerns.
Select a medication status and record what was given, by whom, and any observations.
Three fields record the core care narrative: Personal Care Provided (hygiene, mobility, dressing), Behaviour Notes (mood, interactions, triggers, responses), and Staff Notes (general observations and handover information).
Tick all activities the client participated in, grouped by category: Creative, Physical, Social, Educational, and more.
Record how the client arrived, which staff member drove or escorted, and any observations from the journey. A concerns flag reveals a detail field when needed.
Each note is signed using a canvas signature pad, or a previously saved signature can be loaded. Every text field supports voice dictation for hands-free entry.

Basic client information and plan dates. The About the Assessment tab records where the assessment took place, who was present, whether the client could express their own views (Yes, Partially, No, or Fluctuating capacity), and whether views were expressed by a third party. Important for MCA compliance.
Seven person-centred fields, each with voice dictation: what I want to achieve, how I show happiness, how I show distress, social needs and preferences, interests and hobbies, activities to avoid, and personal care needs at the day centre.
Document identified risks and mitigations for each service user, with assessor details and signature.
Plans are saved as drafts. When complete, the status changes to Submit for Approval. Managers and Deputy Managers see an approval panel to Approve or Return for Revision with notes.
Structured periodic reviews with nine sections, action points, and manager approval.
Care reviews follow a consistent nine-section format with review types: Monthly, Quarterly, Annual, Initial, or Unplanned. All text sections support voice dictation.
Wishes & Preferences, Health & Wellbeing, Personal Care, Social & Communication, Activities & Engagement, Behaviour & Emotional, Goals Progress, Family Involvement, and Any Other Concerns.
Each action point is recorded separately with description, assigned staff member, due date, priority (Low, Medium, or High), and status (Open, In Progress, Complete, or Deferred). Displayed as a colour-coded table on the review page.
Select the reviewer name from a dropdown. If a saved signature exists on the staff profile, a button loads it automatically. Alternatively, draw a fresh signature on the canvas pad.
Set status to Submit for Approval when ready. Managers see an approval panel to Approve or Return for Revision. Reviews cannot be shared with families, commissioners, or inspectors until approved by a manager.
A dedicated safeguarding workflow that keeps concerns visible, evidenced, and followed up.
Staff select the client and type of concern, describe the concern in full, use the body map to mark any visible injuries, sign the report using the signature pad, and submit. The report is logged as Open and the manager is notified.

Take photos directly from the browser. Choose front or rear camera (on mobile), set an optional countdown timer (3, 5, or 10 seconds), and capture. A flash confirms each photo.
Record video clips directly in the browser with a red REC indicator and timer. Stop when finished and the clip is added to the captures tray.
Photos and clips are held in memory until uploaded. Review the tray, remove unwanted items, then click Upload All to save them to the selected client's gallery. Nothing is stored until you upload.
19 organisational policies aligned to SCC Schedule 1 and Schedule 5, the Care Act 2014, and CQC Fundamental Standards.
Staff see a progress bar showing how many policies they have acknowledged. Click a policy title to open it, read it, and click Mark as Read. The acknowledgement is recorded with a timestamp.

Each cell shows one of four statuses: Complete (training is current), Expiring Soon (expires within 60 days), Expired (has lapsed and must be renewed), or Not Started. Gaps are easy to spot.
Click a cell for a staff member and course, enter the completion date and expiry date, and save. The matrix updates immediately.

Each staff member has a profile page for personal details and, importantly, a saved signature. Draw your signature on the canvas pad using a mouse or finger, and save it to your profile. When completing a Support Plan, Care Review, or Daily Note, select your name from the staff or reviewer dropdown. If a saved signature exists, a button appears to load it automatically into the form. You can still draw a new signature or clear and redraw at any time: the saved signature is only loaded when you explicitly click the button.

Speak your notes instead of typing. Available on every text field in Daily Notes, Support Plans, and Care Reviews.
Voice dictation uses the browser's built-in speech recognition: no third-party service, no audio sent externally. Click the microphone button next to any field label, allow microphone access, and speak naturally. Words appear in the field as you talk, with a live preview in grey italic showing what the system has heard but not yet confirmed. Confirmed words are added automatically.
The system sets language to British English automatically. You can say punctuation aloud ("full stop", "comma", "new paragraph"). Text is always appended, never overwritten, so you can dictate in multiple sessions. Voice dictation requires Google Chrome or Microsoft Edge; it does not work in Firefox or Safari.
